Vendor Code of Conduct and Disclaimer
Women’s Enrichment Conference and Fall Festival
Date: September 19-20, 2025
Location: Galilean Baptist Church 1390 Monfort Rd, Lawrenceville, GA 30046
Thank you for participating as a vendor at our Women’s Enrichment Conference and Fall Festival. To ensure a safe, welcoming, and respectful environment for all attendees, vendors are required to adhere to the following Code of Conduct and comply with the terms outlined in the Disclaimer. This document reflects applicable Georgia state law and Gwinnett County regulations to ensure compliance and a positive experience for all.
Vendor Code of Conduct
Prohibited Items and Activities
Vendors must ensure that all products, services, and conduct align with the family-friendly and faith-based nature of the event. The following are strictly prohibited:Alcohol: No alcoholic beverages may be sold, distributed, or consumed at the event, per Georgia state law (O.C.G.A. § 3-3-21) and event policy. Vendors serving alcohol must obtain a special temporary event permit from the Georgia Department of Revenue, which is not permitted for this event.
Lewd, Vulgar, or Inappropriate Items: Items or displays that are sexually explicit, offensive, or inappropriate for a family-friendly audience are prohibited. This includes, but is not limited to, materials with explicit language, imagery, or themes that may offend attendees or conflict with the event’s values.
Political Items: No political merchandise, signage, or promotional materials (e.g., campaign buttons, posters, or literature) may be sold or displayed to maintain a neutral and inclusive environment.
Non-Compliance: Failure to adhere to these guidelines may result in immediate removal from the event without refund of the attendance fee.
Professional Conduct
Vendors must conduct themselves courteously and respectfully toward attendees, other vendors, and event staff.
Vendors are responsible for maintaining a clean, safe, and organized booth space. All trash must be disposed of properly, and booths must comply with Gwinnett County fire and safety regulations (e.g., no open flames without a permit).
Vendors must comply with all applicable Georgia state and Gwinnett County laws, including those related to business operations, sales tax, and health regulations.
Event-Specific Guidelines
Booth Setup and Hours:
Friday, September 19, 2025 (Fall Festival): The event runs from 8:30 PM to 10:30 PM. Vendors may arrive as early as 4:30 PM to begin setup but must be fully set up and ready for operation by 7:45 PM. All booths must remain operational until 10:30 PM. Cleanup and teardown must be completed by 11:00 PM.
Saturday, September 20, 2025: The $35 vendor fee includes attendance to the Saturday morning portion of the Women’s Enrichment Conference. Vendors are welcome to attend as participants, subject to event rules and schedules.
Signage: All signage must be professional, securely displayed, and compliant with Gwinnett County code enforcement regulations. No unauthorized signage is permitted.
Noise and Disturbances: Vendors must keep noise levels reasonable to avoid disrupting speakers, performances, or other vendors.
Vendor Disclaimer
Attendance Fee
The vendor participation fee is $35, which covers vending at the Fall Festival on Friday, September 19, 2025, and attendance to the Saturday morning portion of the Women’s Enrichment Conference on September 20, 2025. Payment is non-refundable and must be submitted by August 15, 2025 at end of day.
Payment does not guarantee sales or attendance and is solely for participation in the event.
Vendor Responsibilities for Equipment and Setup
Tents and Displays: Vendors are responsible for providing their own tents, tables, chairs, and other display materials. Tents must be weighted or secured to comply with Gwinnett County safety regulations and fire codes.
Power Supply: Vendors must provide their own power sources (e.g., portable generators or battery packs). Generators must comply with Gwinnett County noise and safety ordinances, and extension cords must meet fire safety standards. No electrical power will be provided by the event organizers unless otherwise specified.
Permits for Equipment: If vendors require special equipment (e.g., propane for cooking), they must obtain necessary permits from the Gwinnett County Fire Marshal’s Office in advance.
Setup and Teardown: Vendors must adhere to the setup and teardown schedule for Friday, September 19, 2025:
Setup: Vendors may begin setup at 4:30 PM and must be fully set up by 7:45 PM.
Teardown: All booths must be dismantled, and cleanup must be completed by 11:00 PM. Vendors are responsible for removing all trash and leaving their assigned space clean.
Insurance Requirements
Vendors must provide proof of general liability insurance with a minimum coverage of $1 million, naming Galilean Baptist Church as an additional insured for the event dates (September 19-20, 2025). The certificate must list the church’s address: 1390 Monfort Road, Lawrenceville, GA 30046.
Food vendors must also carry product liability insurance to cover potential food-related incidents, per Georgia state health regulations.
Certificates of Insurance must be submitted with the vendor application by August 15, 2025 end of day.
Liability and Indemnification
Vendors assume full responsibility for any loss, damage, or injury caused by their products, displays, or actions during the event.
Galilean Baptist Church and its affiliates are not liable for any loss, theft, damage, or injury to vendors, their property, or their customers during the event.
Vendors agree to indemnify and hold harmless Galilean Baptist Church, its staff, and volunteers from any claims, damages, or liabilities arising from their participation.
Compliance and Removal
Vendors who fail to comply with this Code of Conduct, Georgia state law, or Gwinnett County regulations may be asked to leave the event immediately without refund.
The event organizers reserve the right to inspect vendor booths for compliance and to reject or remove any vendor at their discretion.
